Overview
The Haute Suite, a luxury home organizing and move-management company serving San Diego and Los Angeles, is hiring an experienced Marketing Automation Specialist to set up a fully automated AI-powered lead generation and nurture system.
This person will build a marketing machine that:
Pulls 50 realtors per week from Clay
Syncs them into HubSpot with correct fields
Launches HubSpot email sequences
Posts performance metrics to Slack
Books calls through a scheduling link
Supports an AI assistant that handles outreach, lead management, and follow-ups

Responsibilities
1. Clay Lead Sourcing Setup
Build search filters for luxury realtors in San Diego + Los Angeles
Enrich leads with email, brokerage, market, IG handle, and specialty tags
Map Clay fields to HubSpot contact properties
Create a recurring pull workflow (≈50 leads per week)
2. HubSpot CRM Configuration
Create all required contact properties:
Market (SD/LA)
Brokerage
Luxury Tier
Instagram handle
Specialty (Luxury, Coastal, Relocation, etc.)
Realtor Status (New Lead → Contacted → Engaged → Meeting Scheduled → Partner)
Build Realtor Partnerships Pipeline
Set up saved views and active lists
“Active Luxury Realtor Leads – SD+LA”
“Warm Realtor Leads – Follow Up”
3. HubSpot Email Sequences
Upload and format 3-email outreach sequence
Intro (aspirational lifestyle tone)
Follow-up (effortlessly curated move-in experience)
Case study/testimonial email
Configure personalization tokens
Connect sending domain + verify SPF/DKIM
Test sequences with sample contacts
4. Zapier Automations (Core Component)
Create the following automated workflows:
A. Clay → HubSpot
When a new row appears in Clay, create/update a HubSpot contact
Map all fields correctly
Set Realtor Status to “New Lead”
B. HubSpot → Slack
When a new or updated contact appears
Post message in #ai-marketing

C. HubSpot → Booking Flow
Insert Calendly/HubSpot meeting link
Auto-create tasks for replies

5. AI Assistant Support Setup
Build structure in HubSpot so an AI assistant (ChatGPT) can:
Read lead statuses
Recommend next steps
Generate follow-up messages
Draft personalized outreach
Ensure properties + lists are AI-friendly and clearly labeled
6. QA & Documentation
Provide a clear SOP (written or recorded Loom) for:
How the lead machine works
How to make edits
How to monitor sequences
How to add new markets
Test the system end-to-end using 10 real contacts

Required Experience
2–5 years in HubSpot Marketing or Sales Ops
Experience with Clay.com (mandatory)
Solid understanding of Zapier webhooks, multi-step Zaps, and conditional logic
Experience with email authentication (SPF, DKIM)
Familiarity with CRM best practices
Experience building lead-generation pipelines
Bonus: Work with luxury brands or real estate professionals
