Job Summary:
MindSource are seeking an HR Coordinator who is dependable, detail-oriented, and comfortable working in a fast-paced environment with changing priorities. The ideal candidate takes direction well, follows established procedures, and uses good judgment to determine when to move tasks forward independently and when to seek guidance from leadership. This person should also be proactive, adaptable, and willing to step into additional projects as workload shifts. This is a part-time remote role for three months with the possibility of extension/hire.
Responsibilities:
• Maintain regular communication with consultants through phone calls and Zoom meetings
• Provide front-line customer service and administrative support via email, phone, text, and WhatsApp
• Review and coordinate onboarding paperwork, communicate needed revisions, and follow up to ensure all required documentation is completed
• Track and manage required trainings and other compliance-related items
• Follow up on benefits-related actions to ensure completion
• Monitor and follow up on timesheet submissions
• Update internal records and systems accurately and in a timely manner
• Assist in coordinating background checks
• Track sick leave and PTO usage
Key Qualities:
• IT staffing experience
• Takes direction well and works collaboratively with the team lead
• Demonstrates maturity and flexibility in managing changing workloads and priorities
• Proactively identifies additional tasks or projects during slower periods
• Able to follow established processes, procedures, and workflows consistently
• Exercises sound judgment in knowing when to work independently and when to elevate questions or decisions to the lead or director
• Experience with ATS systems. JobDiva would be a major plus.
