Job Overview
We are looking for a skilled and experienced Transportation and Logistics Virtual Assistant to provide administrative support to our US-based client. As a virtual assistant, you will be responsible for a range of tasks, including preparing reports, maintaining filing systems, and updating inventory records. You will also be required to perform light DMV functions, such as requesting quotes and processing lien releases. Key Responsibilities
- Preparing reports and maintaining appropriate filing systems to ensure accurate and up-to-date records
- Updating retired units in our inventory daily to reflect changes in stock levels
- Logging in units to our shops as needed, including sold and non-operational units
- Providing scanned copies of titles to our sales representatives within 24 hours of request
- Performing light DMV functions, including:
- Requesting DMV quotes within 24 hours
- Requesting lien releases or payoffs within 24 hours
- Mailing license plates weekly
- Filling out DMV or overpayment check request forms within 24 hours
- Running maintenance reports and vin audits on a weekly basis to identify areas for improvement
- Releasing liability weekly to ensure compliance with regulatory requirements
- Creating UPS labels as needed to facilitate the shipping of goods
- Creating purchase orders (POs) for vendors or shops by the end of each shift to ensure timely payment
- Assisting with new projects as needed to support the growth and development of the company
- Maintaining a sold list in real-time to track sales and inventory levels
- Performing miscellaneous job responsibilities within the dealership as required
