Job Overview
We are seeking an experienced and organized Billing and Payroll Assistant to join our team. As a remote worker, you will be responsible for managing billing and payroll tasks with a focus on precision and timeliness, especially during end-of-month (EOM) activities. Key Responsibilities
- Payroll Processing: Accurately input payroll data and verify for consistency to ensure timely and accurate payments to our staff.
- Invoice Review: Check staff invoices for accuracy and compliance to ensure that all billing information is correct and up-to-date.
- QuickBooks Data Entry: Enter and reconcile transactions in QuickBooks to maintain accurate and complete financial records.
- Data Reconciliation: Compare QuickBooks entries with EHR (Electronic Health Records) to ensure accuracy and identify any discrepancies.
- Invoice Creation: Prepare and manage invoices in Excel, Google Docs, and QuickBooks to ensure timely and accurate billing.
- Report Generation: Generate financial and billing reports as needed to support our operations and inform business decisions.
- End-of-Month (EOM) Tasks: Focus on billing and payroll completion from the 1st to the 10th of each month to ensure timely and accurate processing.
- Credit Card Processing: Run credit card transactions and oversee accounts receivable to ensure timely and accurate payments.
- Contract Management: Draft and send contracts to clients and staff to ensure that all agreements are up-to-date and accurate.
- Coordination with Bookkeeper: Collaborate closely with the bookkeeper to ensure accurate and complete financial records and support our financial operations.
Essential Qualifications
- Experience: Previous experience in billing, payroll, or an administrative role is required.
- Mental Health Field Experience: Experience working in the mental health field is preferred, but not required.
- Technical Skills: Proficiency in Excel, Google Docs, and QuickBooks is preferred, but we are willing to train the right candidate.
- Attention to Detail: Strong accuracy in data entry and document review is essential for this role.
- Deadline-Oriented: Ability to meet strict deadlines, particularly at month-end, is critical to success in this role.
Preferred Qualifications
- Accounting or Bookkeeping Experience: Experience in accounting or bookkeeping is a plus, but not required.

Schedule and Compensation
