Job Overview
We are looking for a highly organized and detail-oriented individual to fill the position of Administrative Support Specialist. This role will provide administrative support to our integrated Adult Detox and Crisis Recovery Unit, a non-medical 14-bed facility that operates 24 hours a day, 7 days a week. The successful candidate will work closely with our team to ensure seamless operations, providing backup support during high-volume periods for phone screenings, referrals, and other duties as needed.
Key Responsibilities
- Utilize spreadsheets and databases to organize information and produce standard reports, preparing complex disbursement forms, such as check requests, travel forms, cash sheets, and journal entries, for routing and approval.
- Compile and maintain reports and financial statements, ensuring accuracy and attention to detail.
- Greet visitors, maintain, and administer appropriate safety procedures in secured environments, ensuring a safe and welcoming atmosphere for all.
- Set up accounts, reconcile ledgers, and gather data for budget preparation, preparing a wide variety of accounting forms and reconciling daily receipts or accounts receivable/payable.
- Verify requests for goods and services against contracts and funding sources, ordering goods or services, and following up on discrepancies to ensure timely delivery.
- Establish, modify, and maintain systems for tracking work progress, training new employees, and providing relevant policies and procedures, composing routine correspondence on behalf of management.
- Schedule and cancel appointments, maintain calendars, and coordinate audio-visual and training equipment, typing complex documents and proofreading for spelling and grammar.
- Conduct tasks associated with payroll processing, including verifying timesheets, researching and resolving payroll discrepancies, and maintaining attendance and leave tracking records.
Essential Qualifications
To be successful in this role, you will need:
- A high school diploma or equivalent, with at least two years of administrative support experience.
- An Associate's Degree in Business Administration or a related field is preferred, although experience can substitute for education, and education can substitute for experience.
- Excellent organizational, communication, and interpersonal skills, with the ability to work effectively in a remote environment.
- Proficiency in multiple software applications, including spreadsheets, databases, and word processing programs.
- Strong attention to detail, with the ability to maintain accuracy and confidentiality in all aspects of the role.
