Job Description Step into a multifaceted role supporting a senior marketing executive who leads transformative initiatives across the financial technology and nonprofit sectors. You’ll coordinate high-profile events, manage complex calendar systems, and support strategic initiatives that make a real difference in both the corporate and community spheres. Responsibilities • Manage Executive Calendar and Communications • Coordinate complex scheduling across multiple calendar platforms • Synchronize activities between universal Google Calendar and client-specific Outlook systems • Handle meeting coordination with high-level stakeholders • Prepare comprehensive meeting briefs and follow-up documentation • Drive Event Management Success • Lead venue research and quotation processes for high-profile events • Coordinate with presenters and stakeholders • Manage timelines and action items • Support virtual and in-person event logistics • Track and follow up on deliverables from various contributors • Leverage Advanced Technology • Utilize AI tools including ChatGPT and Google Notebook LM for research • Apply prompt engineering skills for efficient information gathering • Manage multiple email systems and digital platforms • Maintain secure document management systems • Handle Administrative Operations • Process and organize expense documentation • Maintain accurate database records for volunteers and donors • Manage contact lists and communication databases • Support document organization with strict attention to privacy requirements Requirements • Professional Experience • 2+ years of executive assistant experience • Demonstrated calendar management expertise • Track record of handling confidential information • Experience with event coordination preferred • Technical Proficiency • Advanced skills in Microsoft 365 and Google Workspace • Familiarity with AI tools and prompt engineering • Comfort with learning new software platforms • Experience with virtual collaboration tools • Essential Qualities • Outstanding English communication skills • Strong initiative and proactive problem-solving ability • Excellent attention to detail and organizational skills • Ability to work independently and manage priorities • Comfort with direct communication styles • Understanding of data privacy and security protocols • Additional Requirements • Reliable internet connection • Quiet, professional home office setup • Ability to maintain strict confidentiality • Flexibility to adjust hours based on project needs • Commitment to maintaining security compliance standards Independent Contractor Perks • Permanent work from home • Immediate hiring • Steady freelance job ZR22667JOB Apply Job!
